Customer Booking Help

Before You Book Wheelchair Accessible

These are the questions customers normally want answered before they confirm an airport booking. The aim is to help you choose the right service quickly, not bury you in generic information.

Check the exact terminal or pickup point

For airport drop-offs and collections, the correct terminal matters. It helps us plan the right route, forecourt access and handover point before the driver is assigned.

Understand how the live quote works

Your quote depends on the route, time, vehicle size and any applicable airport access charges shown for that journey. The amount shown before checkout is the figure you can book against.

Add flight details for pickups

If you are being collected from the airport, include the flight number. That allows arrival monitoring and helps reduce avoidable waiting problems if the flight lands early or late.

Choose the vehicle by luggage, not just passengers

A saloon may be fine for light travel, but families, golf bags, pushchairs or extra suitcases are usually better in an Estate, MPV or 8-seater.

Why Pre-Book a Wheelchair Accessible Airport Taxi

Airport-rank taxi queues are not configured for wheelchair use — most ranks at Heathrow, Gatwick, Luton and Stansted operate first-come-first-served with a mix of saloon and estate cars that can't accommodate a powered chair or four-point tie-down. Pre-booking a WAV is the only reliable way to guarantee the right vehicle is at the right meeting point at the right minute.

Our WAV bookings typically split across four traveller groups: long-haul international arrivals on Virgin Atlantic, BA and Emirates needing onward transport from Heathrow T3/T5 arrivals; outbound charter passengers from Gatwick North on TUI, EasyJet Holidays and Jet2 with reduced-mobility holidays; visiting hospital consultants and outpatient appointment transfers between home addresses and the South East NHS network; and care-home / supported-living residents on planned trips. All four streams need the same operational basics — secure boarding, trained drivers, no surcharge, real-time flight tracking.

Five Things Travellers With Mobility Needs Get From Us

Purpose-Built WAV Fleet

Mercedes Vito and Volkswagen Caddy Maxi Life WAVs with side-loading ramps (low-angle, single-section), four-point tie-down systems (UN ECE R107 certified), pre-stretchable seatbelts, and a wheelchair envelope up to 1300×1800×950mm. Fits standard NHS chairs, powered chairs and most Class 3 scooters.

Disability-Trained Drivers

Drivers nominated for WAV runs hold a current Disability Awareness certificate covering safe loading, ramp deployment, tie-down technique, communication with hearing/visual impairment, and PRM (Passenger with Reduced Mobility) airline-assistance hand-over protocol. Three Rivers Council disability training also baseline.

No Wheelchair Surcharge

The fixed fare for a WAV is the same as our standard saloon-tier fare. No additional charge for ramp use, no premium for extra loading time, no "mobility supplement". Per the Equality Act 2010, charging a higher fare for wheelchair use would be unlawful — and it's also the wrong thing to do regardless of the regulation.

Extended Boarding Window

Standard 5-minute kerbside loading is extended to 15-20 minutes for WAV bookings — ramp deployment, chair positioning, four-point tie-down securing, seatbelt application and luggage stow. Same at airport drop-off. 45-min free waiting time on inbound airport collection still applies, clocked from actual touchdown.

Hospital Transfer Network

WAV transfers to and from Watford General, Hillingdon, Mount Vernon, Harefield Hospital (specialist cardiothoracic), Royal Brompton, Royal Free, Great Ormond Street, Charing Cross, Royal Marsden Sutton. Patient transport between home and outpatient appointments, day-case collections and inter-hospital transfers.

WAV Vehicle Specification — What Fits

Confirming chair envelope at booking is the single most important step — it determines which WAV is allocated and whether a Class 3 scooter needs tiller folding for boarding. Standard maximums shown; bespoke larger-envelope vehicles available on request.

Meet & Greet With Mobility Assistance at the Airport

Airport arrivals with mobility requirements need a different choreography. Here's the meeting protocol we follow on every WAV inbound across Heathrow, Gatwick, Luton, Stansted and London City.

  1. Pre-flight — the booking includes your airline, flight number, and a flag for PRM (Passenger with Reduced Mobility) airline assistance if you've requested it.
  2. Inbound wheels-down minus 5 minutes — the dispatch system flags your arrival. The WAV is parked at the dedicated disabled-access pickup point (designated parking bay at each terminal — Heathrow T5 short-stay, T3 Multi-Storey, Gatwick North coach park, Luton mid-stay, Stansted short-stay, LCY blue badge bay).
  3. Wheels-down — chauffeur walks into arrivals, taking a wheelchair from the airport assistance pool if needed. Standard meeting point is the airline-assistance hand-over zone at each terminal arrivals hall, with a printed surname placard.
  4. Hand-over from airline assistance — driver meets you at the gate or arrivals exit (whichever the PRM service delivers to), accompanies you through baggage reclaim and customs, and stays with you to the WAV.
  5. Boarding the WAV — 15-20 minute window for ramp deployment, chair positioning, four-point tie-down securing, seatbelt application, luggage stow.
  6. Vehicle departs — direct from the airport to your home address. The £7 forecourt fee and any short-stay parking is included in your fixed fare.

Equality Act Compliance & PHV Standards

Section 165 of the Equality Act 2010 places a positive duty on PHV operators to carry a wheelchair user in their chair, without surcharge, where the vehicle is designated as wheelchair-accessible. We comply fully — the WAV fare matches our standard tier with no premium. Drivers refusing a WAV booking on grounds of wheelchair use (without genuine medical exemption certificate) commit a criminal offence under s.166. We have never had a refusal complaint in our operating history.

Our PHV operator licence is issued by Three Rivers District Council. All drivers hold Private Hire Driver Licences with mandatory safeguarding and disability-awareness training. Vehicle insurance is held to local-authority hire-and-reward standard including specific WAV coverage. Reasonable adjustments for assistance dogs (no additional fee, all drivers accept assistance dogs), visually impaired travellers (driver provides spoken-arrival announcements), and hearing-impaired travellers (SMS confirmation of all timings) are standard practice.

Wheelchair Accessible Airport Taxi — Frequently Asked Questions

Vehicle specs, booking process, airport meet & greet, hospital transfers

Yes. We operate a small fleet of wheelchair-accessible vehicles (WAVs) with rear or side-loading ramps and four-point tie-downs. Bookings are made in advance — at least 24 hours' notice is recommended to guarantee WAV availability for your slot. The vehicle accommodates a wheelchair user plus 1-3 ambulant companions; powered chairs and standard manual chairs both fit (up to 1300mm wide, 1800mm long, 950mm tall).
The same fixed fare as our standard service tier — no surcharge for wheelchair use. Lead saloon-equivalent fares from Rickmansworth: Heathrow from £30, Luton from £40, Gatwick from £75, Stansted from £75, London City from £55. From outer-cluster towns the lead price scales by distance. Every quote is locked at booking with no surge, no holiday surcharge, no airline-delay loading.
Standard manual wheelchairs, lightweight folding chairs, electric/powered chairs (under 200kg), and mobility scooters up to class 3. Maximum chair envelope is approximately 1300mm wide, 1800mm long, 950mm tall — covers the vast majority of NHS-supplied chairs, Quickie, Karma, Sunrise Medical, Pride and Invacare models. For very large bariatric chairs or Class 3 mobility scooters with non-folding tillers, please describe the chair when booking so we allocate the right vehicle.
Yes. Drivers nominated for WAV runs hold a current Disability Awareness Training certificate covering safe loading and unloading, ramp deployment, four-point tie-down restraint, communication with passengers with hearing or visual impairment, and assistance with luggage. Three Rivers District Council also requires PHV drivers to complete safeguarding and disability training as part of licensing — every driver on our fleet meets this baseline.
Yes. On airport arrivals the chauffeur is inside the arrivals hall with a printed surname placard. For passengers using airline assistance (PRM service — Passenger with Reduced Mobility), the driver coordinates with the airline assistance team at the arrivals gate and accompanies you to the WAV vehicle parked at the dedicated disabled-access pickup point at each terminal. The vehicle short-stay parking fee is included in the fixed fare.
Yes. Standard WAV seating: 1 wheelchair user plus 3 ambulant companions (typically a carer and 2 family members). Larger groups can be accommodated with a second escort vehicle following at the standard saloon rate, or upgraded to a larger 8-seat minibus base configuration with WAV adaptation. Confirm the total passenger count at booking so the right vehicle is allocated.
Yes. Standard 5 minutes loading time at the pickup is extended to 15-20 minutes for WAV bookings to allow ramp deployment, chair positioning, four-point tie-down securing and seatbelt application. The same applies at the airport drop-off. 45 minutes of free waiting time on the inbound airport collection still applies — clocked from actual touchdown, not the schedule.
Yes. WAV transfers to and from NHS sites including Watford General, Hillingdon, Mount Vernon, Harefield Hospital, Royal Brompton, Royal Free, Great Ormond Street, Charing Cross, and the Royal Marsden are routine bookings. Patient transport between home and outpatient appointments, day-case surgery collections, and inter-hospital transfers are all in scope. NHS-funded transfers via the local Patient Transport Service work alongside our private fixed-fare option.
Call 01923 88 2424 directly — booking by phone is recommended for WAV requests so we can confirm vehicle availability, ramp type and any specific accessibility needs. Online booking also works via the homepage widget — add a note in the comments box specifying wheelchair, chair dimensions, and number of ambulant companions. WAV availability is confirmed within 30 minutes of booking submission.
Inbound flight tracking is automatic — the dispatch system links your BA, Virgin Atlantic, Emirates or other inbound to the live aviation feed. The WAV is positioned at the dedicated disabled-access pickup point ahead of your aircraft's wheels-down minute. After a long-haul flight with reduced mobility, the chauffeur meets you with the wheelchair at the airline assistance hand-over point and stays with you through baggage reclaim, customs and the short walk to the vehicle. 45 minutes of complimentary waiting time is included from actual touchdown.
